Executive Coordinator
The Executive Assistant to the C-Level management is responsible for providing comprehensive support to the office by overseeing the management office operations. This dynamic position requires the ability to anticipate needs, think critically and offer solutions to problems with a high level of professionalism and confidentiality. Candidates should have 2+ years of relevant experience together with excellent English communication skills (Speaking, Writing) and proven hands-on MS-Office experience as well as strong interpersonal and multitasking skills.
Responsibility:
- Serve as the primary point of contact for internal and external stakeholders and colleagues on all matters pertaining to the C-Level
- Thorough understanding of administrative and secretarial tasks including drafting letters, memos, invoices, reports, and other documents for senior staff
- Ability to work under pressure and meet deadlines
- Handling of confidential documents, ensuring their safety
- Work closely with the C-level to keep them well informed of upcoming commitments and responsibilities, following up appropriately
- Document archiving, handling notifications, maintaining distribution lists, managing access rights, etc.
- Handle and prioritize all outgoing or incoming correspondence (calls, e-mail, letters, packages etc.)
- Ability to executive and manage guest management protocols
- Project-specific support, such as the preparation or refinement of letters, presentations etc.
- Receiving, screening, and redirecting phone calls
- Attend meetings and keep minutes
- Coordinates office management activities
- Meeting with the visitors, couriers, visa companies, hotels, travel agents, and vendors.
- Act as a center for managing various critical priorities.
- External visa/hotels knowledge (international/domestic).
- Coordinating and arrangement of traveling for the executive team
- Responsible to develop a Business presentation.
- Other projects/duties as assigned for the overall benefit of the organization
Skills & Experience:
- 2+ years of experience of working as an executive assistant in a professional environment
- Any Bachelor’s or Master’s Degree
- Excellent organizational, administrative and time-management skills
- Excellent written and verbal communication skills
- Friendly and encouraging attitude, willingness to take the initiative, and ability to work independently
- Advanced professional skills in MS Office (Word, Office, Excel, PowerPoint, Outlook).
